I Have Cleaned Up Over 500 Sets of Messy Books. They All Break the Same Way.

The bank statement says one number. The books say another number. They are way off from each other. Sometimes by a little. Sometimes by a lot. Either way, nobody trusts the numbers anymore.

Problem 2: Nobody reconciles the accounts

Reconciling means checking the books against the bank statement every single month. Most of the businesses I work with do this once a year, if that. Some never do it at all. That is like never checking your gas tank and hoping you do not run out on the highway.

Problem 3: Someone forces the numbers to match

When the books do not match the bank, a lot of people just make a journal entry to force it to balance. They plug in a number so it looks right. But it is not right. It just looks right. That is a big difference.

Problem 4: The equity section is a mess

This part trips up almost everyone. There is usually a huge number sitting in something called opening balance equity. On top of that, owner draws and owner equity get mixed up together all the time. And loans do not get split the right way between principal and interest. It all blends into one confusing pile.

Problem 5: Payroll is recorded wrong

Most business owners take the net payroll number, the amount that actually lands in the bank, and dump the whole thing into one payroll expense line. But payroll is not just one number. It should be broken out. Gross wages. Employer taxes. Benefits. Employee taxes. When you lump it all together, you lose the real picture of what payroll is actually costing you.
