How to Track Restricted Funds in QuickBooks

If you run a nonprofit, you know that not all money is the same.
Some money you can spend on anything your nonprofit needs. This is called unrestricted funds.
Some money can only be used for a certain purpose. Maybe a donor said use this for the new roof or use this for the youth program. This is called restricted funds.
Mixing these two up is one of the biggest mistakes nonprofits make. It can lead to a bad audit. It can also break trust with your donors and board.
The good news is that QuickBooks Online makes it easy to keep these funds separate, once you know the steps.
Step 1: Turn on Class Tracking
Go to your account settings. Turn on the feature called Track classes. This lets you tag every transaction with a label, like Restricted or Unrestricted.
Step 2: Set Up Your Classes
Create a class called Unrestricted. Create another class called Restricted. If you have several restricted grants, you can break those into their own classes too. For example, you could make one called Restricted: Roof Fund and another called Restricted: Youth Program.
Step 3: Tag Every Transaction
Every time money comes in or goes out, choose the right class. A general donation goes under Unrestricted. A grant that says for the roof only goes under Restricted: Roof Fund.
Doing this for every transaction is what keeps your books accurate.
Step 4: Run Reports by Class
QuickBooks lets you run a Profit and Loss report by class. This report shows you exactly how much restricted money you have left and how much unrestricted money you have left.
This makes it much easier to answer questions from your board or your donors.
Step 5: Review Your Numbers Every Month
Check your class report every month. Make sure restricted money is only being spent on what it was meant for. This small habit keeps you audit ready all year long, instead of scrambling at tax time.
